Service 02 · Workflow & Process Automation

Less copying, pasting, and chasing. More time for real work.

Quotes, intake forms, invoices, follow-ups, scheduling, and reports often eat hours every week. I streamline the process first, then automate the routine steps using the software you already have wherever possible.

Is this for you?

Usually a good fit if any of these sound familiar.

  • Staff re-type the same information into several systems.
  • Leads or enquiries slip through the cracks because follow-up is manual.
  • Month-end reporting takes days of spreadsheet work.
  • Documents like invoices, delivery slips, or applications are processed by hand.

What’s included

  1. Process review

Map the current steps, remove the ones that don’t need to exist, and agree on what should happen automatically.

  2. Automation setup

Connect your existing tools (email, calendar, accounting, CRM, forms, spreadsheets) and add AI where judgment on text or documents is needed.

  3. Testing with real work

Run the new process alongside the old one until it is reliable, with a person reviewing anything important.

  4. Documentation and handover

Plain-language notes on how it works, who owns it, and what to do when something changes.

Typical examples

  • Enquiry intake that sorts, summarizes, and routes each request to the right person
  • Quote and estimate drafts prepared from a short set of job details
  • Reading invoices or delivery paperwork and entering the data into your accounting system
  • Weekly summaries of sales, jobs, or cash position delivered to your inbox

Common questions

Will we need new software?

Often not. I start with what you already pay for, such as Microsoft 365, Google Workspace, or your accounting and CRM tools, and only recommend something new when it clearly earns its keep.

What happens if an automation makes a mistake?

Important steps keep a person in the loop: the system drafts and a staff member approves. Everything is tested on real work before it is relied on.

Who maintains it afterward?

You own it, and it is documented so your team can manage it. Optional support is available if you want it, but there is no retainer required.
